What are we looking for?
We are seeking a dedicated Administrative Officer to join our client's team, playing a pivotal role in upholding our core values, delivering added value to our clients' businesses, and ensuring remarkable results. Collaborating closely with a team of accountants and Directors, your responsibilities encompass the effective administration processes for our clients and employees. As an Administrative Officer, you are committed not only to your role but also to fostering a progressive, innovative, and positive work environment. Displaying an empathetic, caring attitude towards all team members and actively promoting our client's vision, mission, and values, you believe in accountability, consistency, and ensuring the privacy and confidentiality of our clients and employees, responding promptly and professionally to all inquiries and requests. Your commitment to both the role and our ethical work environment is paramount.

What are you expected to do?

  • Support all administrative 'workflow' functions, including preparing engagements, pursuing clients for information, and distributing work to Accountants
  • Collate and lodge client documents
  • Manage debt collection processes
  • Handle ASIC administration tasks
  • Provide valuable support to other members of the client services team
  • Assist in various administrative projects
  • Undertake ADHOC duties for the Practice Manager and Directors as needed

You’ll be a great fit if:

  • You have demonstrated experience in delivering high-quality, effective, and timely administration support with a strong focus on results
  • Your excellent communication skills enable you to connect with various stakeholders, including clients, suppliers, colleagues, and senior management
  • You possess strong written communication skills, allowing you to produce clear, accurate, and professional documents
  • You are highly organized with meticulous attention to detail, capable of juggling multiple tasks to ensure seamless administrative operations
  • Your proficiency in MS Office, including email, database management, and experience using accounting software, is evident
  • Your problem-solving abilities empower you to address various challenges and inquiries from the team
  • You have experience in Xero and/or Xero Practice Manager

We will be absolutely thrilled if you also have the following:

  • Experience in Australian bookkeeping or worked for a legal or finance sector will be highly desirable
  • Experience or knowledgeable in Adobe

What happens after you submit your application?

The whole process takes around 4 weeks:

  • There will be 3-4 interviews and a possible assessment from our client partner. You will undergo an initial interview, a culture interview, and 1-2 interviews with our cool client. This will run for about 1-2 weeks but we will let you know if we need to ramp it up. Be yourself and have fun.
  • We will constantly communicate with you as to the development of your application. You can also directly communicate with us to ask us about the status of your application.
  • If all goes well, we complete the reference check and provide other necessary requirements so we can offer you the job right away.

  3. Social IDs - PHIC, SSS, HDMF, TIN
